Downloading from ReferenceUSA and Importing into Office Software

When using our database ReferenceUSA, you will see that it allows downloads of 50 records at one time, if you are in a library. Remote/home access allows downloads of 10 records at one time. This page provides some additional information to help you with downloading from this database.

Downloading
Select the records to download, using the check boxes located on the left of the results page. Next, select 'Download' from the top or bottom of the results table. Screens display 25 records at one time. To download all the records on a single screen, select the 'All' button on the left of the results table -this marks all 25 selection boxes- and then select 'Download.' To display the next screen of results, select on the page number listed or enter the specific page number in the display box and select 'Go.' Page numbers are found at the top and bottom of each screen.

Tip! When using ReferenceUSA to create a mailing or business contact list, a narrow list will be the most manageable. Use 'Custom Search' to create your search by Business Size, Business Type (Yellow Page Heading or SIC), and/or Geography (location).

Image of ReferenceUSA ScreenDownload options will display before the download begins. This screen displays a three-step process. The 'Comma Delimited' selection in Step One will meet most needs. Step Two allows you to select your level of detail. The 'Basic' option includes the business name, address and phone number. The 'Detailed' option includes all data fields. Step Three allows you to select the download button to proceed. You will be prompted for a download location -select the location to download- and to name the new file.

Select the left-arrow ('Back') to return to the results screen after downloading. To download more records from the same search, first clear the check boxes for the records you just downloaded: select 'None' in the top left of the results table (you may need to select 'All' first before 'None' will display).

Opening the Downloaded Files in Office Software - Files downloaded from ReferenceUSA can be opened by spreadsheet software, such as Microsoft Excel or similar programs, and by word processing software, such as Microsoft Word and similar programs. From within your application, use the Open item from the File menu. You may need to select 'Show All Files' in the Open prompt to find the downloaded file. Some programs will open the file without prompting for more information. Others may ask you to identify the type of file that it is.

Microsoft Excel and Microsoft Word: The file will open in a workbook spreadsheet with name, address, (etc) fields in separate columns. The columns can be widened to view the full content. Excel allows you to sort, change the order of the columns, or delete unwanted columns. Additionally the Excel list can be used in Microsoft Word to create mailing labels.

Corel WordPerfect: The file will open in a workbook spreadsheet with name, address, and other fields in separate columns. The columns can be widened to view the full content.
